How to respond to Tripadvisor reviews as a hotel, with examples

On Tripadvisor your reply sits right under the guest's review, and travellers read both. Tripadvisor calls it a management response. It has its own rules, it can't be edited once it's posted, and it waits for approval before anyone sees it. Here's how to get it right.

Where to reply

You need a free Tripadvisor Management Center account for your hotel. If you haven't claimed your listing, start at tripadvisor.com/Owners. Then:

  1. Open your profile menu and choose My Business.
  2. Select Respond to Reviews, or See all reviews.
  3. Pick the review. You can filter by response status, rating, date and language.
  4. Write your response, add your display name and business role, and submit.

If you get Tripadvisor's new-review emails, the Respond link in the email takes you straight there.

The rules your response must follow

Tripadvisor checks every response against its management response guidelines. The ones hotels trip over most:

How long it takes to appear

After you submit, the review shows Response Pending, then Response Published once it's approved. Tripadvisor says most responses are reviewed and posted within a few business days, and longer if there's a question about the guidelines.

You can't edit a response once it's submitted. To change it, delete it and submit a new one. So write it somewhere else first, read it twice, then paste it in.

Which reviews to answer

Tripadvisor leaves this to you, but suggests always answering negative reviews, reviews with a factual mistake you can correct, and reviews about a problem you've since fixed. It also suggests keeping at least one response among your ten most recent reviews, so travellers can see you're listening without scrolling.

For an independent hotel, the simplest rule is to answer them all. It's the best way to show the next guest how you treat people.

Example replies

Change the details so each reply is about that stay. Tripadvisor warns that the same standard reply on every review comes across as insincere.

A five-star review

Thank you for staying with us and for such a kind review. We're so glad the room overlooking the garden was as quiet as you hoped, and we'll pass your thanks on to Maria at breakfast. We'd love to welcome you back next spring. Tom, General Manager

A mixed review

Thank you for your review and for the honest feedback. We're pleased you enjoyed the location and the staff. You're right that the Wi-Fi in the top-floor rooms wasn't good enough, and we've since added a second access point on that floor. We hope to see you again. Tom, General Manager

A negative review

Thank you for telling us about your stay, and I'm sorry we let you down. A late check-in after a long journey should be easy, and the wait you describe isn't the welcome we aim for. I'd like to hear more and put it right, so please email me at manager@yourhotel.com. Tom, General Manager

Notice what the negative reply doesn't do: it doesn't argue, it doesn't repeat the complaint in detail, and it doesn't offer anything in exchange. Tripadvisor allows an email address in a response, and points out that responses can show up in search engines, so there's no need to restate the problem.

If you think the review breaks the rules

Report it to Tripadvisor, but still post a response. Your reply shows your side to travellers while the report is checked. If the review is removed, your response goes with it.

Questions

Is there a length limit on Tripadvisor responses?

Tripadvisor says there's no character limit, but asks you to keep responses concise.

Can I edit a response after it's published?

No. Delete it and submit a new one.

Can I offer the guest something in my reply?

No. Responses that offer gifts, services or money are removed. If you want to make amends, invite the guest to contact you directly.
